Privacy Policy

EcoPowerHub AI LLC ("EcoPowerHub", "we", "us") operates EcoService Pro, an AI-powered field service management SaaS. This Privacy Policy explains how we collect, use, share, and protect personal information of users worldwide. It is designed to comply with the EU/UK GDPR, California CCPA/CPRA, Brazil LGPD, China PIPL, and other applicable privacy laws as of 2026.

1. Scope

This policy applies to all users of EcoService Pro globally, including account owners, technicians, dispatchers, customers receiving service, and visitors to our websites.

2. Information We Collect

• Account data: name, email, phone, company, role, password hash.
• Job & operations data: customer records, job notes, checklists, signatures, photos, equipment data, schedules.
• Location data: approximate or precise GPS while on duty (with consent), service addresses.
• Device & usage data: IP, browser, device IDs, log events, feature usage, crash data.
• Payment data: processed by Stripe; we store only non-sensitive metadata (last 4, brand, billing email).
• AI inputs/outputs: prompts, photos, transcripts submitted to AI features and the responses generated.

3. How We Use Information

• Provide, operate, secure, and improve EcoService Pro.
• Power AI features (diagnostics, dispatch, insights). We do not use customer content to train foundation models without explicit opt-in.
• Billing, fraud prevention, and account administration.
• Aggregated, de-identified analytics for product improvement.
• Customer support and transactional communications.

4. Legal Bases (GDPR / UK GDPR)

We process personal data under one or more of the following bases: (a) performance of a contract; (b) legitimate interests (e.g., security, analytics); (c) consent (e.g., marketing, precise location); (d) legal obligation.

5. Data Sharing

• Sub-processors: Supabase (database/auth/storage), Stripe (payments), AI gateway providers, email/SMS delivery, error monitoring, and cloud hosting.
• Within your workspace: data is visible to authorized members of your tenant per role-based access.
• Legal: when required by law, lawful request, or to protect rights and safety.
• We do not sell or "share" personal information for cross-context behavioral advertising (CCPA/CPRA).

6. International Transfers

We are headquartered in the United States. Where we transfer personal data internationally, we rely on Standard Contractual Clauses, UK IDTA, and equivalent safeguards. PIPL transfers from China rely on user consent and approved mechanisms.

7. Your Rights

Subject to applicable law, you have the right to: access, correct, delete, restrict, or object to processing; data portability; withdraw consent; and lodge a complaint with a supervisory authority. California residents may exercise CCPA/CPRA rights including the right to know, delete, correct, opt-out of sale/share, and limit use of sensitive personal information. 8. Cookies & Tracking

We use strictly necessary cookies for authentication and security, and limited analytics cookies. You can control cookies in your browser. We honor Global Privacy Control (GPC) signals where required.

9. Data Retention

We retain personal data while your account is active and for a reasonable period afterward to comply with legal, tax, and accounting obligations (typically up to 7 years for financial records). Operational data is deleted within 30 days of an account-wide deletion request, except where law requires retention.

10. Security

We employ encryption in transit (TLS 1.2+) and at rest, role-based access controls, audit logging, least-privilege infrastructure, and routine vulnerability scanning. No system is 100% secure; please use strong passwords and enable available security features.

11. Children's Privacy

EcoService Pro is not directed to children under 16. We do not knowingly collect personal data from children.

12. Changes

We may update this policy from time to time. Material changes will be communicated via the app or email. Continued use after the effective date constitutes acceptance.
